A.M.E Terms & Conditions
Welcome to the A.M.E Family!
At A.M.E (Admin Made Easy), we don’t just see ourselves as your service provider; we see ourselves as your dedicated partner in growth. Our goal is to solve your admin stress, give you back your time, and treat your business with the same respect as our own.
By engaging our services or purchasing a package, you are joining the A.M.E Family and agreeing to the following terms and conditions.
1. Our Partnership & Status
1.1 Independent Contractor
A.M.E is engaged as an independent contractor. We are a separate business entity, not an employee. As such, A.M.E is responsible for its own Income Tax, GST, Insurance, and Superannuation.
1.2 Authority & Ownership
We take pride in "taking ownership" of the roles we fill. A.M.E provides its own equipment and retains the right to determine the method, manner, and timing of performing services. We ensure all agreed-upon deadlines and high-quality standards are met so you can focus on what you do best.
1.3 Subcontracting & Scaling
To ensure the "A.M.E Family" standard is always met as we grow, A.M.E reserves the right to engage qualified subcontractors or other Virtual Assistants to assist with tasks. Rest assured, A.M.E remains your primary point of contact and is responsible for the quality and confidentiality of all work performed.
2. Onboarding & The A.M.E Dashboard
2.1 Seamless Onboarding
To make your life easier, we use a streamlined digital workflow. Upon onboarding, we will set up your tasks and personalised client dashboard.
2.2 Base44 Access
You will receive an automated email to create a Base44 account. This account serves as your portal. From that point forward, all task delegation and credit tracking can be accessed through the A.M.E Website.
2.3 Client Cooperation
To help us solve your admin stress effectively, the Client agrees to provide timely access to necessary software, passwords, and information. We can only "reclaim your time" if we have the keys to the digital office!
3. Service Credits & Fair Use Policy
3.1 Purpose of the Fair Use Policy
To ensure fairness and consistent quality for all members of the A.M.E Family, we operate on a 'Task Credit' system. This ensures your effective hourly rate remains consistent, even when specialised skills or premium turnaround times are required.
3.2 Credit Deduction Protocols
Credits are deducted from your balance based on the complexity and time required. While most standard tasks count as 1 Credit (approx. 30 minutes), tasks requiring significant setup or deep focus will deduct multiple credits.

2 Credits | Moderate Complexity | Form/template creation, applicant tracking, 60-min project block. |
3 Credits | High Complexity | Creating 3-page documents, 60-min meeting notes, full onboarding setup. |
4 Credits | Project Setup | Digital file organisation setup or Task Management system setup (up to 2 hrs). |
6 Credits | Deep Project Work | Bulk email clear-outs or complex SOP drafting (up to 3 hrs). |
3.3 Minimum Increment
To account for communication time and context-switching, all tasks are deducted in a minimum of 0.5 Credit increments.
3.4 No Rollover Policy
To ensure we can guarantee dedicated capacity and availability for your business every month, unused credits do not roll over to the following month. They expire at the end of each billing cycle.
3.5 Overage & Custom Quotes
If a request exceeds your package credits, A.M.E will notify you before proceeding. We will either provide a custom quote for the project or deduct the equivalent value from your credits upon your agreement.
3.6 Package Upgrades
If you consistently require more support, the 14-day notice period is waived for all upgrades. Upgrades can be implemented immediately upon agreement and payment.
3.7 Ad-Hoc & One-Off Engagements
For clients not currently on a monthly package, A.M.E offers "Helping Hand" ad-hoc support. These one-off tasks or short-term projects are billed at a flat rate, with a minimum engagement of one hour. These tasks do not include the complimentary onsite support or the discounted credit rates found in our monthly packages.
4. Onsite Support (Brisbane, Moreton Bay & Surrounds)
4.1 Half-Day Onsite Visits
All monthly packages include one half-day of onsite support to help physically or digitally organise your workspace.
4.2 Travel & Location
This service is available within the Brisbane and Moreton Bay regions. Locations outside this radius may incur a travel fee or be conducted via a "Virtual Deep-Dive" tour.
4.3 Cancellation of Onsite Visits
Because we value flexibility and plan our childcare and travel carefully, we require 24 hours’ notice to reschedule an onsite visit. Cancellations with less than 24 hours' notice may result in a deduction of 6 credits from your monthly balance.
5. Fees, Payment & Standard Hours
5.1 Billing Cycle & Renewals * Monthly Packages (Subscriptions):
Initial payment is due on the day of ordering to activate your service. Subsequent monthly renewals occur on a monthly basis.
Ad-Hoc/One-Off Tasks: Clients not on a monthly package are required to pay 50% of the project fee upfront prior to commencement of work. The remaining 50% is due upon completion of the work and must be paid within 7 days of the final invoice date.
5.2 Late Payment
If payment is not received within the specified timeframe, A.M.E reserves the right to pause all active services (including call forwarding and inbox management) until the balance is cleared.
5.3 Standard Hours
Our "Active Family Hours" are Monday - Friday, 8:00 AM - 4:00 PM. Standard tasks acknowledged by 12:00 PM will generally be completed within 24–48 hours.
5.4 Premium & Rush Service Fees
For tasks requiring immediate priority or work outside standard hours, multipliers apply to the base credit cost (or hourly rate):
Rush Activities: (Same-day/Immediate attention) Double Deduction/Charge (2x).
Weekend Work: (Saturday or Sunday) 1.5x Deduction/Charge.
6. Confidentiality, Privacy & Intellectual Property
6.1 Confidentiality
A.M.E agrees to keep all Client business information, trade secrets, and customer data strictly confidential. This trust continues after our agreement ends.
6.2 Data Security
We utilise secure password management and encryption. We comply with the Privacy Act 1988 (Cth).
6.3 Intellectual Property
Upon full payment, all work created specifically for the Client becomes your property. A.M.E retains ownership of its proprietary templates and internal processes.
7. Liability & Indemnity
7.1 Limitation of Liability
A.M.E’s liability is strictly limited to the value of one month’s service fee (or the value of the specific ad-hoc task).
7.2 Financial Access
For services like Xero, A.M.E prepares the data, but the Client retains final responsibility for reviewing and authorising all payments.
8. Termination & Service Changes
8.1 Notice Period
Either party may terminate or downgrade this agreement with 14 days’ written notice. (Upgrades remain immediate).
8.2 Final Billing & Credits
Unused credits for the current month are non-refundable but are fully available for your use during the 14-day notice period.
Governing Law This Agreement is governed by the laws of Queensland, Australia.
